Introduction
PFinnovation processes personal data of its customers, potential customers, and other contacts. We do this to be able to carry out a potential agreement. In this privacy statement, we explain why and how we process your personal data.
We do not have a Data Protection Officer, but we are happy to answer any questions about our privacy policy at info@pfinnovation.nl.
Which personal data does PFinnovation process
Below is an overview of the personal data we may process, depending on the products or services you purchase or use:
- First and last name
- Address
- City
- Phone number
- Email address
- Company name
- Company address details
- Location data
- VAT number
- Contact history
Other personal data you actively provide, for example through signing up on our website, in correspondence, or by phone.
- Legal obligations
A small portion of our processing is required by law. This mainly concerns personal data necessary to comply with our tax obligations.
- Newsletters and mailings
Occasionally we send newsletters and/or mailings. Sometimes these are personalized based on actions you’ve taken or products and/or services you’ve purchased from us. You always have the option to change your preferences for receiving newsletters and mailings.
Automated decision-making
PFinnovation does not make decisions based on automated processing (algorithms) that could have adverse consequences for you.
Data subject rights
Under the GDPR, everyone has a number of rights. We do our best to comply with these as well as possible. Do you have tips or comments? Let us know! To exercise your rights, you can contact us at info@pfinnovation.nl.
- Information and access: you can of course see what personal data we process about you. We’re also happy to explain how and why we process that data.
- Rectification: do you believe we have incorrect data about you? Let us know, and we will correct it.
- Erasure (“right to be forgotten”): you can have your personal data deleted. We may still need to process that data for other purposes (e.g. administration or deduplication).
- Restriction: do you believe we are processing your personal data unlawfully or incorrectly? Then you can request us to restrict the processing.
- Objection: you can object to the processing of your personal data. Is it about marketing? Then we will stop that processing as soon as possible.
- Data portability: this is a new right under the GDPR allowing you to transfer your personal data. If you want to make use of this, please contact us.
Additionally, you can also:
- Withdraw consent: for example for receiving emails. If you want to withdraw consent for other processing, please contact us at info@pfinnovation.nl.
- File a complaint with the Dutch Data Protection Authority (AP): do you believe we are not complying with privacy laws? We’d of course like to hear about it. You can also file a complaint with the AP.
How long do we retain your personal data?
Personal data may not be stored longer than necessary. The retention period depends on the purpose for which we received or collected the data and any legal obligations to retain data.
If you requested a quote from us but did not become a customer, we will delete your data no later than two years after our last contact. Similarly, if we received a quote from you but did not become your customer, your personal data will be deleted no later than two years after our last contact. If you did become our customer or we became yours, we will retain your personal data for seven years after the end of the fiscal year in which the agreement was fully executed. The seven-year period corresponds to the period we are required to retain our records for the Tax Authority. After this period, we will delete your personal data.
Legal bases for processing:
As explained above, we process some data to fulfill legal obligations, some to carry out an agreement, and most to serve PFinnovation’s legitimate interests: fulfilling our mission. Would you like to know more about the balancing test we perform for legitimate interests? Please contact us.
Sharing with third parties
In connection with executing a possible agreement with you, it is possible we may need to provide your personal data to parties who supply products and/or services to us or perform work on our behalf. Additionally, we use external server space to store (parts of) our sales and purchasing records, which includes your personal data. For that reason, your personal data is shared with our server hosting provider.
How PFinnovation secures your personal data
We take the protection of your data seriously and take appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. If you believe your data is not properly secured or there are signs of misuse, please contact us at info@pfinnovation.nl.
We have taken the following measures to protect your personal data:
- Our employees’ servers and devices are equipped with up-to-date security software, such as antivirus and firewalls.
- We only transmit your data over secure internet connections (SSL). You can recognize this by the ‘https’ and the padlock icon in the address bar.
- Access to personal data from mobile devices is restricted and actively monitored.
DKIM is an internet standard we use to prevent you from receiving emails in our name that contain viruses, spam, or are intended to obtain personal (login) data.
